Analyst, Records
The Analyst will be responsible for analyzing, inventorying, indexing, researching and locating NYCEDC department records in all formats (physical and electronic). The mission is to assist NYCEDC departments in the timely access, retrieval, storage, and maintenance of records and to assist the Vice-President, Records Management Department, in monitoring the implementation of the NYCEDC Record Retention Schedules.
Essential Duties and Responsibilities:
RECORDS INTAKE: Assign box numbers. Review inventory and data entry. Analyze, categorize and organize records. Index (key data entry) paper records in the Autonomy Records Manager (ARM) application. Produce file folder labels from ARM for placement on physical folders. Collect, index (key data entry), and upload electronic records to the Autonomy Records Manager system.
HELP DESK: Answer Records Management Help Desk inquiries. Search the Autonomy Records Manager system and other sources to identify requested records and enable their retrieval. Provide search results to EDC staff. Deliver boxes of records to EDC staff; pick up boxes of records from EDC staff. Provide orientation and training to EDC staff. Mentor RM interns.
RECORDS STORAGE: Manage on-site and off-site storage of paper records: request paper records from off-site storage vendor using vendor's Web-based records management application. Track the changing locations of paper records utilizing barcode scanners.
QUALITY CONTROL: Perform quality control checks on the inventory and indexing of paper records, and on the indexing, content and format of electronic records.
SAFETY: Maintain a high regard for personal safety, the safety of company assets and employees, and the general public. Use Personal Protective Equipment when needed.
Other Responsibilities: Perform various records processing and records circulation activities on an ad hoc basis, as assigned by Vice-President & Supervisor.
Minimum Qualifications:

  *   Bachelor's degree or equivalent
  *   MS Office
  *   Ability to multi-task and complete required tasks in a timely manner
  *   A high level of accuracy in key entry of data
  *   Good communication skills, both written and oral, with the ability to communicate with a variety of individuals at all levels internally and externally.
  *   Work well independently as well as with teams, and manage tasks and time lines.
  *   Keen attention to detail
  *   Ability to lift boxes of records weighing up to 35 lbs.
  *   Basic understanding of Records Management concepts and principles (including but not limited to: categorization, life cycle management, conversions, migration, etc.
  *   New York City residence is required within 180 days of hire
Preferred Qualifications:

  *   One (1) year's experience in customer service work (need NOT be in a records management setting).
  *   Three (3) years' experience in records or archives management, preferably including electronic records.
