Well Gary, Subject: Vital Records Designation?

In a perfect world, MONEY would not be an Issue, Right?  So, I would say there would be no reason to designate as Vital Records.  Of course, this would not negate the fact that indexing and identification would not go out the window.

Subject: Vital Records Designation?

So, we all know about the criteria for designating a records series (or records class) as a Vital Record, and the methods of protection for records designated as such: duplication, dispersal, off-site storage, and on-site protection.

But, let's take a scenario: Let's say that in an organization all electronic records are reliably backed up on a regular schedule. And let's assume this to be a perfect world where the backups all work 100% of the time. And for good measure, let's say the organization employs replication technology as part of its DR plan, and all electronic records are included in this system.

Question: Under the above-described scenario, is there any reason to give any electronic records in this perfect system a "Vital Records" 
designation? What would the point be? And what additional measures would you take to segregate and further protect this subset of electronic records on your system from those that are already being done? (remember, don't leave the scenario)

Talk amongst yourselves. (Oh, and do share your thoughts with the List as
well.)

The first reason for vital records designation, in your scenario, is the ab=
ility to prioritize recreation if you have an event.  I don't believe that =
you are assuming that nothing bad could ever happen to such a system?  Anot=
her justification for the vital identification would be, in the right indus=
try sectors, an ability to audit and demonstrate compliance should that be =
a requirement for specific record series.  Finally, is the system being tes=
ted on a regular basis to not only know that the systems work but so the or=
ganization can discover areas of improvement?  Some tests should include ro=
utines that involve vital records.  You cannot do such a test if you are un=
able to identify what is vital.

In addition to David Stewart's excellent comments, I would add:  if the records in question are long-term (i.e., retention exceeds 25 years), they should be periodically output to a non-digital medium (such as microfilm), to ensure persistence over time.

I think any electronic system that you have designated as containing Vital 
Records would get priority in your recovery plans. This could be giving 
them greater fail-over protection, or be designated as first to restore 
systems should you lose your data center. Having a back-up is great, but 
if you're restoring everything you'll want to get the important stuff up 
and running first. Where this becomes interesting is setting your record 
access priorities against other business needs like safety and 
communication, especially in a disaster recovery scenario.

In today's New York Times.  Although I have a Kindle and use it I still
occasionally like to read a hard copy book.  Just something about the feel
of a hard bound nook in my hands.  Plus I don't have to stop reading during
take off and landing.  Guess I am a little old fashion.  Or a Gutenberger
as someone described us individuals who still like paper...

choice. My dog, Pixel, forced me to.

You see Pixel, a 35-pound clump of energy, has an obsession with shadows
and reflections. At the beach or the dog park, she doesn=E2=80=99t chase bi=
rds or
tennis balls, she chases their shadows trailing along the ground. And at
home, when I pull out my iPad to read an e-book, she starts twirling
frantically in circles, jumping all over me trying to catch the reflection
from the screen. It=E2=80=99s comical most of the time, but it=E2=80=99s un=
believably
annoying when I=E2=80=99m trying to fall into a good story.
