*POSITION TITLE*: Records Manager



*POSITION SUMMARY:* Ensure a systematic and cost efficient process of the
creation, use, maintenance, transfer, preservation, retention & disposition
of the firms records. Overall management of the records department
personnel.



*DUTIES & RESPONSIBILTIES:*



•      Solid experience with industry best practices for electronic and
physical data retention, organization and discovery.

•      Experience with one or more RIM enterprise technology solutions used
for the management of both physical and electronic information, e.g.
Autonomy IRM, CARM, ARM, FileSurf, LegalKEY.

•      Strong Project Management Skills

•      Proven track record of successfully supervising, developing and
training staff.

•      Comfortable working in a fast-paced environment where priorities
change frequently.

•      Excellent verbal and written communication abilities; exceptional
customer service and interpersonal skills.

•      Excellent Microsoft Word and Excel skills required.

•      Able to handle print and electronic collections

•      Good organizational and time management skills

•      Oversee all functions of the records department staff, file clerks &
data entry clerks.

•      Must be able to build & develop retention policies, business
continuity/disaster recovery

•      plans, file destruction policy and all processes relevant to records
& information management.

•      Must be able to develop a full & robust training program for staff &
firm employees relating to all core competencies.

•      Interfaces with IT department regarding automated conversion &
system upgrades.

•      Coordinate the transfer of incoming & outgoing files.

•      Coordinate the clerical assistance need by attorneys and other firm
personnel.

•      Coordinate the firms clean up & organization of files out of the
central file room.

•      Coordinate staff vacation & overtime schedules.

•      Conduct employee’s reviews, evaluations & interviews in conjunction
with Experience Director.

•      Responsible for defining & creating solution to issues as they
arise.



*PRINCIPAL CONTACTS:* Interact with all levels of firm personnel for the
purpose of exchanging and/or gathering information. Work with vendors,
suppliers & other external sources.



*POSITION REQUIREMENTS:*



1)       Knowledge of RMS operations & functions.

2)       Complete working knowledge of excel, word and all business
applications.

3)       A willingness & strong desire to learn and develop the ability to
teach and, unfamiliar applications & process.

4)       Must have demonstrated an ability to develop staff.

5)       Must possess and have demonstrated excellent oral and written
communication skills.

6)       Strong organization & planning skills.

7)       Strong ability to perceive & analyze problems, plan & develop
alternatives, and achieve innovative solutions.

8)       Advanced leadership & people skills.

9)       Strong desire to get the job done with an extreme attention to
detail.

10)    Must maintain confidentially.

11)    Ability to work in fast paced deadline driven environment.

12)    Maintain professional status through membership in professional
organizations, literature and /or specialized courses.

13) CRM preferred



*EDUCATION/EXPERIENCE REQUIREMENTS:* Minimum of a four year degree. At
least 5 years experience working in Records and Information Management
industry. Three year supervisory experience preferred. Should have a
working knowledge of automated records systems and applications.
