Basic Function

This non-exempt position works under limited supervision, executing defined procedures to ensure compliance with RIM policies and the Firm's standards, describes procedures and standards to internal clients and interprets instructions. Retrieval of files and boxes from the warehouse for internal clients and intake/return of the same. Maintains records in Elite Records Manager software to ensure records accurately reflect information for current location, storage and/or retrieval.

Essential Duties

1. Edit existing and prepare new barcode file labels in the Elite Records Management database.
2. Ensure files have appropriate record category.
3. Ensure compliance of Records Center Standard Operating Procedures (SOPs).
4. Retrieve and deliver active and inactive files from the warehouse in a timely manner.
5. Receive and process files for inactive and closed storage in accordance with
established procedures maintaining accurate check-out and current file location
information.
6. In compliance with the Firm's Records Management Policy, follow established
procedures and coordinate file disposition activities with Records Manager
7. Research information on file history, activity, etc.
8. Respond to specific requests by searching, locating, retrieving and delivering records through established procedures and delivery systems in a timely manner.
9. Protect records by monitoring sensitive material that requires offsite climate controls and follow established procedures to preserve sensitive material.

Other Duties

1. Assist with inventory audits of physical files.
2. Collect shred material from internal consoles according to schedule.
3. Ship Records Department supplies to other Haynes and Boone offices (applies to Dallas staff only).
4. Perform related duties as assigned

Desired Degree

Some college courses in Records Mgmt., Library Science, Bus. or Technology a +.

Qualifications

Knowledge/Experience:
* Proficient in Records Center procedures and terminology.
* Knowledge of RIM principals and records management database principals.
* Working knowledge of Microsoft Word, Excel, Outlook and Elite or other comparable records management software.
* Minimum of 3-5 years records management experience, preferably in a large law firm

Skills:
* Ability to follow instructions in compliance with Records Department Policy and
Procedures.
* Ability to follow up and follow through on instructions from internal clients.
* Ability to stay on tight schedules/deadlines and to work under pressure a must.
* Able to work independently in a large law firm environment, be self-motivated and disciplined.
* Maintain a professional demeanor with strong emphasis on service attitude and responsiveness with internal clients.
* Ability to communicate effectively (both written and verbal) with internal and external clients.
* Strong interpersonal skills, teamwork/cooperation and ability to adapt to changing work situations is essential.
* Strong organizational and attention to detail skills are important.
* Minimum typing speed of 30-40 w.p.m.
* Ability to work overtime as needed.
* Reliable and punctual

Education: Associates degree, preferably a Bachelor's degree. Equivalent records management experience is acceptable.

Physical Demands and Working Conditions

Physical Demands: Must be able to move around the office up to 50% of the time located and delivering files, etc. Remains stationary at least 50% of the time. This position operates computers and other office productivity machines (e.g., fax machine, copier, printer, etc.) on a regular basis. Regularly required to move files and boxes, shift the file room, etc. Required to move documents or files weighing up to 40 lbs. This position requires constant communication and exchange of information with the Firm attorneys, clients and staff. This position must be able to inspect and observe information on a computer screen at least 80% of the time.
