I have designated keyholders throughout my organization. All of the keys are
numbered and accounted for each time a person moves to a new role or leaves
the company. You can keep a spreadsheet with the key number on it and the
name of the Records Liaison to whom it was assigned. Each keyholder has to
sign off on training and be present each time a container has to be opened.
This is to prevent anyone from borrowing a key and "fishing" for information
in the container that is not theirs. The keyholder verifies the contents of
documents removed from the container for any reason.
