Marketing wants to know basic data about projects - market segment, square
feet of structure, design fee, original construction cost estimate by
design firm, change orders $ total, actual construction cost.
Ideally, this info would be captured at project close-out and documented
in a system that Marketing would reference when generating proposals. It
is often more difficult than one would think to go back into an old
project file and extract some of this data. So capturing it in a separate
marketing (or sometimes accounting) system is preferable to extending your
project file retention period.
Likewise engineering is looking for calculations that are in data tables
and electronic systems that have not made their way (and could not) to a
paper file. Your firm might consider capturing this data in a separate
system for long-term reference rather than extending the project file
retention.
