Job Title: Assistant Records Analyst (project-based) - Short term position
Department:   Office of Records Management
 SUMMARY:
Responsible for supporting a large-scale media review, digitization, and disposal project, as well as for researching and reviewing records management database records and physical records to identify records with expired retention periods and facilitate the process of retrieving those records and reviewing them for possible destruction.


ESSENTIAL DUTIES AND RESPONSIBILITIES




Creates, maintains, and updates inventories of media items currently listed in Microsoft Excel and Google Sheets.


Researches, reviews and updates records in the records management database (LiveLink 9.7 / M-Files) and the off-site warehouse inventory control database (Total Recall) per ORM guidelines..


In response to requests from the Digitization Project team, locates and prepares media items for reappraisal and review.


Reorganizes media storage as needed.


Interfaces with outside vendors for digital preservation and retrieval of media from off-site locations.


Engages with internal clients to facilitate review of records and media for disposition.


Prepares destruction applications, reports, pallet lists and records receipts and tracks project progress.


Assists in preparation of records for disposition, including lifting and moving records cartons.


Performs other duties and assistance to Office of Records Management staff, as assigned.

Supervisor: Records Manager/Analyst
Also, this role may provide project support to other members of the ORM staff and ORM Media Digitization Project team as required

Regular Contacts: ORM staff; TSG; MBEL Research; other TFCCS departments; CSPS; off-site storage facility vendor; digital preservation vendor




JOB REQUIREMENTS


Education/Experience
Undergraduate degree in Archives, Library Science, History, Museum Studies, Religion, or related field required.  MLS/MLIS or professional certification (CRM, ERM, ECM, or CH-ERIM, etc.) preferred or equivalent work experience.


Knowledge/Skills
This position requires an understanding of archival and records management standards and best practices, including the ability to analyze documents for contact and process records using descriptive standards and naming conventions. Candidate must be comfortable working both independently and collaboratively, both following directions and taking responsibility for project goals, deliverables and results, and possess a demonstrated attention to detail and organization, as well as effective and diplomatic oral and written communication skills and strong research skills. Candidate must be an enthusiastic self-starter and team-player with the ability to focus on repetitive tasks as well as to multitask and switch gears quickly and frequently and to ask questions to clarify assignments, scope of projects, and ensure comprehensive understanding of goals--that is, a disciplined thinker comfortable with managing multiple projects. Candidate should be able to work discreetly with confidential and sensitive material.


Technology Skills
Familiarity with databases. Proficiency in a records management system and in office suite software, including document processing, spreadsheets, databases, presentations (e.g., Microsoft, OpenOffice, LibreOffice, Google Apps for Work) with an emphasis on strong spreadsheet skills; Must be able to master unfamiliar computer systems quickly.

Work Environment
This position regularly works in an office environment with some loading dock and shipping / receiving work.


Physical Requirements
Must be able to safely lift and move records cartons (i.e., 30 to 40 pound boxes) and shelve / re-shelve materials within repository areas and maneuver heavily loaded carts.
