In my former company I just sent a copy of the "Universal Schedule" around. When we eventually had Web Pages, I published it on-line. This was a list of the "universally held records within . . . " our organization. It listed the basics - the Record type or name, the Official Owner and how long to keep the official copy. And a column of how long to keep the depulicates. When I visited a department, I told them that if Accounting retained "Check Requests" for 3 years, and "you are not Accounting" - then your department is holding a duplicate - we also discussed the back up information and how it should be handled. I handed this item out along with each department's Records Retention Schedule.

One thing I haven't seen mentioned is that when dealing specifically
with executives is the idea of records ownership within the
organization. There have been a few mentions that records belong to the
company, but no mention that in many cases, executives aren't the
"owners" of a lot of documents. A lot of what they have are COPIES
where
the original belongs to someone else (i.e. board meeting minutes may be
"owned" by the corporate secretary, not each board member; personnel
reviews and compensation records are owned by HR, etc.). This may make
it easier when training them on how to handle the documents in their
possession.
