Kelly: We print out a paper copy of the schedule each year. When changes
are made, we document on the schedule when they were made, why they were
made and who requested them. Yearly, all those changes go to our Board
for approval. We keep all those "working copies" of the schedule so they
can be referred to if needed.

Kelly, think of the retention schedule as being evidence of records
management decisions. If you don't keep track of older versions of the
schedule, how will you be able to prove what the RM practices were prior
to the change? (Assuming, of course, that the changes are significant.)
