If you establish a records imaging program that meets the requirements of the Canadian General Standards Board standards CAN/CGSB-72.11-93, Microfilm and electronic images as documentary evidence and CAN/CGSB-72.34-2005, Electronic records as documentary evidence, then you can destroy the paper originals after you've completed your quality control procedures and any rescanning that might be needed. Holding onto the originals for 3-6 months to give you time to discover problems is a good idea.

The CRA & other government agencies direct you to these standards in their guidance on electronic record-keeping & imaging business records. A new edition of CGSB-72.34 is due to be published in the very near future.

Subject: [RM] scanning - retaining the paper original (Canada)

Esteemed colleagues,
As a repatriated Canadian, I am re-learning Canadian RM-related laws.
Who knows of any Canadian laws - any jurisdiction, applicable to Canadian government or to anyone - about retaining the paper original of any record for a specific length of time after scanning to electronic?

Thanks,
Maureen Cusack
