Job Responsibilities:




1.     Leads local records management operations with specific responsibilities for these key functions:

·         Oversees work performed by contract service providers with overall accountability for the successful completion of this work.

·         Ensures that all Information and record requests are completed within agreed upon SLAs.

·         Oversees offsite storage operations, including transfer of retained records to commercial record centers, maintaining a complete inventory in the designated records management application, account inventory reconciliation projects, and coordinating disposal of records that have reached the end of their retention cycle.

·         Leads effort to determine disposition of abandoned content.

·         Facilitates scanning/vital records protection by working with requestors to determine if the work can be completed internally or externally. Coordinates the creation of Statements of Work (SOW) with appropriate vendors.

·         Assists Records Coordinators with Records Clean Up events.

·         Serves as Subject Matter Expert (SME) for determining if documents are records and assigning record codes from the Records Retention Schedule.



2.     In collaboration with IRM Head and IRM SMEs, provides local support for:

·         Litigation

·         Merger/Acquisition/Divestiture/Due Diligence

·         Large Internal Moves

·         Site Closures

·         Regulatory Submissions

·         Historical Archives and Artifacts, including maintaining display cases

3.     Administers the collection and analysis of metrics and makes recommendations that improve efficiency and customer service.  Performs audits of data entry in the designated records management application. Monitors program effectiveness and recommends modifications when necessary. This includes ensuring that contract service providers are adhering to IRM internal documents that outline how work is performed. Works closely with assigned SME to contribute to IRM playbooks and makes recommendations for change based on operational experience.

4.     Provides local records management education and awareness as needed to ensure compliance with local and global records management governance documents. Assists / Coordinates training to achieve implementation of these policies, procedures and guidelines. Assists in implementation of appropriate global electronic records management policies, in particular email and electronic archiving.



5.     Manages the overall business relationship with the offsite storage vendors. Serves as the main contact with offsite storage vendors for purchase orders, invoices, contracts and troubleshooting.  Coordinates quarterly business reviews. Participates with Quality in audits of offsite storage facilities.




Qualifications


Basic Qualifications:



Bachelor’s degree from an accredited four-year college or university.   Information Technology and/or Records Management major preferred



Preferred Qualifications:



3 years of responsibility for offsite storage.



4 years of records management and archiving experience.



2 years of continuous improvement experience.
