Job Description

Directs the business operations of the assigned department, which may include facilities, staffing, programs, finance/budgeting, marketing, investigation and training.

  *   Applies understanding of the organization and how own area  integrates with others  to achieve functional objectives
  *   Provides technical guidance to employees, colleagues, and/or customers inside and outside the function
  *   Provides input to short- and long-term plans and strategies  for the function
  *   Implements policies and practices for the area, noting where efficiencies can be made
  *   Adapts department plans and priorities to meet short-term service and/or operational objectives and address any resource and operational challenges
  *   Identifies and solves highly technical and operational problems
  *   Understands and recognizes broader impact across the department
  *   Impacts the team's ability to achieve service, quality and timeliness of objectives
  *   Guides and influences  others either internally or externally to adopt a different point of view
  *   Establishes and maintains relationships outside of the function

Key Responsibilities

* Plan the development and implementation of record and information management policies and procedures intended to standardize storing, protecting and retrieving records and other information.
* Advise and assist University personnel on records and information management policies, procedures and practices.
* Advise management on long-range needs and objectives for records and information management.
* Direct the activities and staff of the Records and Information Management Department.
* Plan and manage the vital records protection and disaster recovery program for the University system.
* Review and approve record retention schedules for submission to the University Records and Archives Committee.
* Plan, develop and present records management seminars, workshops and special presentations to University personnel and outside groups.
* Analyze, plan, design, develop, implement or evaluate records and information management solutions
* Work collaboratively with IT, General Counsel and other departments to achieve desired outcomes
* Partner with IT in developing and enhancing processes, policies and controls around Data Retention
* With the support of the legal department, be the a subject matter expert on requirements under and compliance with applicable federal and state laws pertaining to retention of records
* Evaluate, review and implement manual and automated records systems.
Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 6 years of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications

  *   Four to five years of experience in information and records management.
  *   Proven experience with leading, motivating, and managing people.
  *   Have a good grasp of new and existing technology with the ability and willingness to learn and adapt.
  *   Experience with leading complex projects.
  *   Strong negotiation and interpretation skills including experience with all lease structures.
  *   Experience complying with and keeping up to date on state and federal laws.
  *   Have analytical and problem solving skills with the ability to logically think through and resolve complex issues and problems as well as evaluate and prepare/recommend proposals or solutions.
  *   Demonstrated ability to work with a wide variety of people.
  *   Demonstrated ability to communicate clearly, both verbally and in writing.
  *   Demonstrated ability to work in a fast-paced, team centered, results-driven environment.
