Mary,
Thanks for forwarding this article on to the RM listserv. I read it and will make comments to the article on that forum, but wanted to share thoughts with the listserve.
I am an IT person who moved to Records Management three years ago. I still feel the focus of IT is primarily data storage, uptime of systems, disaster recovery and backup maintenance. The As someone who has worked in both areas I do not feel it is IT's responsibility to manage the retention of corporate records. I do expect them to assist in the process of managing the data, locating tools that are beneficial for both IT and Records Management and to know where data is stored electronically (a requirement by the new FRCP changes in 2006).

My company has been using a method of the backup system for applying retention but primarily in an archive and delete process where possible. I would like to see a more corporate wide process where data is archived off the network drives after a certain period of time. As the responses to this article indicated, if you do not manage the electronic data on your network systems, the backups will capture that data over and over again causing additional cost of data storage on the systems and in the backups.

There are numerous tools for applying retention through a content management system. None of these systems are "perfect" but they do give you more capability for managing data and applying the appropriate retention than a backup.

With that being said, we should not expect IT to be responsible for records retention, but they should be working in conjunction with Records Management to provide better tools for data and retention management for all corporate records.
My thoughts on the matter!

I was catching up over the weekend and was very pleased to read this article - I posted a comment and hope if you haven't, you will do so - this is a great entrée for those who are still working to get the attention of their IT colleagues.
