We are considering obtaining a new voice mail system. The system will be
able to store voice mail only 4-5 days. However; there is a user option
to download the audio file to the desktop, if the user wants to. In the
past we have treated voice mail as non-records (because we can not keep
them for more than 3 days).
I have some questions for the records management professionals on this
listserve:
How is your corporation handling voice mail (do you treat them as
non-records or business records)?
Do you prohibit voice mail from being downloaded?
How do you handle hold orders for voice mail?
By giving people the option to download voice mails, do you not create a
legal obligation to download all those voice mails that would be
considered business records with retention periods?
