The only times I haven't been able to make new retentions retroactive, is
when there are certain circumstances surrounding the historic records. For
example, in the past we filled all contracts together with a "Life of
Corporation" retention. Well, some contracts (e.g. detailing land and water
rights) continue to have lengthy retentions, but other's can be disposed of
much sooner than that. Now that the types of contracts are segregated in
our systems, we can apply a shorter retention to those contracts. However,
the old boxes of mixed contracts are left alone as the labor to sort
through them and segregate them is not worth the labor costs compared to
the associated risk. In essence we create a separate records series for
these situations to treat them distinctly moving forward.
