Yesterday at a Twin Cities ARMA meeting, while enjoying a fine 
presentation on records inventories by Susan McKinney, it occurred to me 
that some organizations would do well to add a new field to their 
inventory form and/or retention schedule that applies to electronic records.

That field would indicate whether the storage medium and the software 
needed to gain access to the record would become obsolete before the 
disposition date of the record.  The field could be filled with the date 
when the record needed renewal.

For example, If a record for a 30-year lease was stored on a CD, the 
renewal field's date would be within the life expectancy of the CD, and 
that date would be extended every time the record was renewed.  
Similarly, if that same record was stored on a longer-lived medium, but 
it was written in MS Word 2010, the renewal date might be around 2020, 
when it is reasonable to expect that Microsoft will end support for Word 
2010.

Is anyone currently using a field with these functions?  Is there a 
need?  What are your thoughts?
