One of my previous employers made use of the end-tab style folders for their records program. As you've noted the folders do not do well in offsite storage, as they are slightly longer than a standard file folder. To fit them into a standard filing box requires folding of the end-tab.

My employer at the time made use of special boxes which were slightly longer and opened on one end in comparison to a regular bankers box for storage of these folders.

We operated our own storage facility which didn't impose restrictions on the size of the boxes. Using a commercial storage facility may result in problems when using these non-standard box sizes.

You could look into sourcing these specialized boxes; however there is likely an additional cost and a limited number of suppliers offering these types of boxes. (We sourced the boxes from the same company that supplied our filing materials).

Subject: End-tab and top-tab folders

A couple of departments are switching to end-tab folders to increase filing
capacity and increased access efficiency. Everything is going fine, but it
dawned on me that end-tab folders do not do really well in an offsite storage
box - the tabs would be hidden in the box, rather than sitting on top for easy
reference. These records get pulled back for audits semi-regularly, so access
to the information post-storage is necessary.

Has anyone dealt with this issue? The current idea is to transfer the contents
to top-tab folders for offsite storage, but that seems like a lot of work and
expense.

Thanks for your input.
