Phil,

I think it is very important that you have RIM committee.

My few comments.
Members -
I think that HR rep also should be inside.

May be you can consider some changes.
I presume that your company is now more and more electronic records management  based, than paper and you think already about management Electronically stored information too.

Chair:

I think the records manager and records management program will have more power if RIM will be the mechanism of implementing decisions of RIM Committee, where its Chair is the one of the top Managers.
It depends on your structure.
May be you have already somebody who is responsible for all Information Technology.
or CEO.

I recall that some members have already mentioned about position CIO like CEO.

I know that it is a problem to get the relevant information all the time, but if would be decision of the committee, and would be distributed through organization regularly, Records manager will receive relevant updates from main business areas every time ( Legal / HR / Finance / Health and Safety / Fire Safety / Accounting and Taxation) and coordinate its implementation.

Also, if you have Intranet, the regular informing about RIM  coming from Chair, that also ???CEO??? can make your RIM more efficient.

Too long, sorry.

Regards,

Alex Babin

We have a Records Retention Committee that includes reps from Legal, Accounting, Tax, Corp. Compliance, IT and Bus. Continuity.  Their current role is to review and approve changes to our corp file plan & retention sched, our records policy and records storage facilities.

Are other records managers using a similar group for advice, approval, guidance, etc.?  If so:

Does the group have a charter?
Who are the members?
Do they review &/or approve disposition/destruction?
Who chairs the group, sets the agenda, etc.?

We are reassessing the makeup and function of our RRC and it would be nice to know what others are doing.

Thank you all. I'm back on the list after a 15 year hiatus - well, it seems that long. I've been schlepping records since 1966 in one capacity or another, nearing retirement, but I'm amazed at how much I'm still learning, mostly from all of you!
