Greetings esteemed colleagues,
I am interested in finding out how other public agencies manage
their contract payments. Specifically, I am interested in finding out
whether agencies tie these accounting records to the contract and retain
them for the length of the contract, including any amendments that may
extend the term of the contract, or do they treat these payments as other
accounts payable records.

For example, do you manage contract payments as a separate category? If so,
what do you use as your trigger event - close of contract or close of FY in
which payment was made? If the latter, do you develop your retention to
ensure the records are maintained through the length of the contract, as
well as any amendments extending the initial contract term? Please let me
know if I can provide any additional information, and many thanks in advance
for your consideration and assistance!

Warmly,
Jessica Fairchild
