The Archives and Records Management Division (ARM) of the Office of the City
Auditor operates the City of Portland Archives and Records Center, making
city administrative and historical records accessible to the public and City
employees for research and inspection in accordance with Oregon's public
records laws. The division sets record retention and preservation policies
and guidelines, administers the City's electronic records management system,
serves as the City expert on records issues, and provides services to help
City employees manage their electronic and physical records.
 
The Archives and Records Management Coordinator performs high-level
professional work and carries out a variety of activities related to
archives and records management functions.  This position is primarily
dedicated to records management, which includes a specific focus on
electronic records. 
 
The Archives and Records Management Coordinator's essential duties include:
oversee and serve as the project manager for city-wide deployment and
implementation of the City's electronic records management system (ERMS);
lead ARM's response to electronic records preservation and access issues;
promote the expanded use of the ERMS; develop and manage records retention
schedules for the City in consultation with bureaus, city attorneys, and the
State Archives; provide guidance to bureaus regarding improved
record-keeping systems; administer the ERMS, including reporting and
evaluating on the system's efficiency, effectiveness, and security; leads
ERMS assigned staff; develop and recommend program policies and procedures;
identify program issues and develop solutions; develop and provide training;
provide expert advice on records management issues. The Archives and Records
Management Coordinator is required to: lift, pull, push and carry boxes that
may weigh up to 40 pounds; climb eight-foot ladders while carrying boxes
that may weigh up to 40 pounds.
