I don't know if this is exactly what you are asking about, but the following will give you an idea of how I deal with file folder labels.

I use an Access database to create our file folder labels.  We just enter Name, SSN, Employee ID, Location, Employment Status, Last Date Researched and Termination Date into a form (created to input into table).  The Report feature is a good method to print the labels and you can get as specific and or fancy as you wish.  Then we simply print them on Avery 5160 White Laser Labels.

I also use the database as an inventory of every file created and recently added more fields to track important stages of employment and location.  We use a query to find out if a file has been made to reduce filing and file hunting time.  It works really well on documents we can't find a file for and for our very large monthly filings we receive (query first to determine if a file even exists, make file for newbie's with label database).

This is a very good idea, but the database will get slower and slower as it grows.  I have another one that has 2 million records (archived payroll data) and takes about 5 minutes to run a query.  It's also a cheap way to get things done, as most people already have Access.  I'd be happy to discuss more if you are interested and need help with Access.  Reply to me directly if you wish.

I am currently looking for recommendations on label design printing software and I am wondering what products are being used by other records managers.  I would like to use software that allows me to create the design template of my label, rather than having to go through the vendor to set up the templates.  If anyone has any products they would recommend (or advise against!), please feel free to respond!
