Don't I know. The client has identified a vast assortment of documents they
want to scan. How do scanning bureaus estimate the labor on a backfile
project? Here must be some rule of thumb.

Subject: RE: Scanning Rates

Wow, now talk about a scary question, Bernard! Unless there's an
opportunity for some sampling and review, I don't believe that an
outsourcing service could provide very accurate information on the numbers
of boxes of files that could be captured/scanned and indexed per day.
Questions include:

(1) Number and condition of pages per box
(2) Existence of duplex images
(3) Images requiring repair prior to scanning
(4) Consistency of page sizes
(5) Existence and frequency of post-it-notes, or other odd-sized attachments
(6) Quality of paper and text - despite scanner advances this can become
critical
(7) Number of fields to be indexed - number of fields and length
(8) Availability of tools for automation of indexing, etc.
(9) QC/QA requirements
(10) Image quality requirements - including dpi requirements
(11) Scanner variabilities, including speed, ease of altering exposure
settings, duty cycles for scanner servicing (cleaning, etc.)
(12) Personnel variables - level of training and experience, method of
compensation.

I'm certain that I have overlooked a few variables, but there's not an easy
answer to this one......without some detailed review.

Having a discussion with a client about staffing.

What productivity do you see processing inactive paper files to digital with
internal staff? How many boxes a day can you manage per FTE? Include
preparation, scanning and indexing. How varied is your mix?

Thanks
