Records Manager, Alliance Atlantis Communications Inc.  

 

In this role, you will be responsible for:

 

- Assisting with the implementation of AAC's Records Management Program.

- Maintaining records, records retention, storage and retrieval systems.

- Performing the full array of duties in support of processing and
maintaining official records for AAC departments including: records
retention, classification, distribution and destruction.

- Performing complex  records management duties.

- Managing the AAC Records Management Program, maintains the Records
Management Manual which includes retention schedules, trains assigned
records technicians and departmental contacts, conducts annual audits,
directs goal setting, implements program improvements, and ensures
compliance by all departments, administers AAC's record filing system. 

- Administering the EDMS for AAC documents. Assists individual
departments with the use of electronic imaging. 

- Supervising assigned Records Room staff and maintaining the Central
Records Room facility. 

- Assisting and informing clients on policies and procedures.

- Researching and maintaining complex files, data, and records in
support of assigned duties.

- Coordinating long and short-term storage of documents from various
departments.

- Preparing month-end reports of records statistics and activities.

- Performing related duties and responsibilities as required.

- Maintains the computerized and manual records management systems.

- Perform electronic imaging of documents in accordance with quality
control procedure.

- Perform data entry in word processing, spreadsheet, electronic
calendar and records management formats.

- Assist AAC personnel and auditors in regard to record retrieval.

- Train records and temporary personnel on AAC wide records policies and
procedures, and software applications.

- Manages off-site storage: request records from off-site storage;
process and transfer records for off-site storage and maintains
inventory lists.

- Project, time and work flow management of records center projects.

- Performs records inventories, audits, creates retention schedules as
necessary.

- Provide counter coverage for the Records Center.

 

Our ideal candidate would have:

 

- Four years experience creating and applying principles and procedures
of record keeping, retention practices, and of filing systems.

- Four years experience performing complex clerical and/or record
keeping duties.

- Four years of administrative and records management experience.

- The ability to establish and maintain effective working relationships
with colleagues and clients.

- Minimum 2 years College and CRM relevant records management course
work [complete at least 2 exams towards CRM designation preferred].

- Must have the ability to lift heavy boxes (50 lbs).

- Proficient in MS Word, Excel, PowerPoint, Outlook and one of the
common or major EDMS or RM applications on the market today.

- Strong communication, organizational, and prioritization skills are
required

- Must be able to work collaboratively and independently with minimal
supervision

- Supervisory experience in a records setting required.
