POSITION TITLE: ARCHIVES RESEARCH ASSISTANT
DEPARTMENT:   CORPORATE SERVICES
BRANCH: CLERKıS

REPORTS TO:    SUPERVISOR, CORPORATE RECORDS & INFORMATION
UNION AFFILIATION:   CUPE LOCAL 905 (YORK REGION UNIT)
HOURS/WEEK: 35     

POSITION PURPOSE: 
 
Under the direction of the Supervisor, Corporate Records and Information,
the Archives Research Assistant will assist the Corporate Records and
Information Management program with researching and developing a Regional
Archives exhibit.   In addition to the above, the Archives Research
Assistant will support the Regional Clerkıs Office and provide customer
service to residents of York Region.
 
MAJOR RESPONSIBILITIES:
 
· Creates an index to all artefacts in the Regionıs archives

· Surveys the Regionıs existing archival holdings and prepares a report
summarizing the holdings, reporting collection metrics such as the volume of
records by media type, the condition of records, and the organization of
specific sub-groups of records

· Surveys local historical societies and area municipalities and collects
high-level collection information

· Prepares a report comparing York Regionıs holdings to existing collections
within York Region and to other municipal archives identified as appropriate
comparators for benchmarking purposes

· Identifies material suitable for an archives display
· Assists with developing a theme and concept for the first Regional
Archives Exhibit (for eventual display in the Great Hall)
· Assists with the archival review and appraisal of the Regional Clerkıs
repository of historical legal agreements; this may include developing a
process and protocols for the review, as well as making recommendations for
the disposition (culling, transfer to archives, etc.) of the agreements
· Provides back up and administrative support to the Clerkıs Office, as
required.  Deals with the public, ascertains their needs and directs them
accordingly
· Prepares and submit regular bi-weekly progress reports to the RIM
Supervisor
· Perform other duties as assigned
  
QUALIFICATIONS
 
· Currently enrolled as a full-time student in a post secondary related
program, such as Archival Studies or Library and Information Science with
course studies in Archives and Records Management
· Returning back to school on a full-time basis in the fall of 2006
· Computer literacy in a Windows environment, demonstrated keyboarding
accuracy and ability to effectively apply software programs such as Word and
Excel
· Knowledge of and demonstrated ability in corporate core competencies
including communication, team work, initiative/self management and
accountability, and flexibility/adaptability
· Ability to deal with internal and external customers with tact and
diplomacy and exercise discretion in dealing with information of a
confidential nature
· Organisational skills to set priorities and work independently,
demonstrating accuracy and attention to detail
· Ability to lift 40 lbs.

Note:  This position is partly funded by the Federal Government (HRSDC).
Rate of pay depends on number of years post secondary education according to
rates set by HRSDC, but rate will be between $13.79 and $20.16 per hour.
