But I have a bit of a problem with these examples that were a result of
improper record keeping practices to begin with...poor records
management. If they are scanning with the same lack of proper records
management practices...they probably have a lot of garbage in...garbage
out! Also, many of the examples given thus far seem to be nothing more
than "someone's notion" that money is saved rather than a true, unbiased
analysis...with good hard factual data...not leaving out any variable.
And as well, in many of these cases I'd bet I could probably do an
evaluation and easily skew it one way or the other to reflect either a
savings...or perhaps a loss. I'm not saying anyone did that
purposefully...but it's difficult to be objective when you're the one
who made the recommendation and now it's time to prove the benefit. The
biggest possibility of the latter probably exists where future
projections of upgrade of software and hardware, consulting, etc. have
been left out or not accurately estimated.

I have another example: Agency was penalized by federal government to
tune of big bucks because of an inability to locate paper contracts
which had been haphazardly kept, passed back and forth, etc... Solution:
Scan contracts into into pdf format using office copier scanner; place
in shared file using contract number as file name; now accessible to all
users, and files are not lost due to record copy on shared server. No
ERMS, no EDMS, just real simple, and its working. To be blunt, the
savings here are easily over many thousand percent.
