Carolyn asked:

1) Your Records Department Structure - Records Manager supervises a Records
Analyst, a warehouseman/recycling guru, a person dedicated to subscription
management, a person dedicated to microform/scanning. In addition, there
are two groups of developmentally disabled with their own supervisors who
do recycling. We are all in the Records Management area.

2) Type of company and if your records are centralized or decentralized -
American Honda Motor Co., Inc. is the sales company for Honda products in
America. Our records are decentralized until inactive.
3) Number of dedicated people, their location, area of specialty (if any)
and brief description of their responsibilities. See 1. Records Manager
also conducts training and is on executive committees. Records Analyst
does data entry because the electronic records management system for
inactive records is only on her PC, retention analysis, FAQ answerer,
special project person. The other two do assist request processing and box
handling.
4) Number of part-time people - The two groups of developmentally disabled
are part-time.
5) If part-time the percentage of time the spend on records - 0%

However, each cost center (department) has a Record Coordinator. The
Record Coordinator spends less than 5% of her time on records management,
coordinating the packing and shipping of inactive records, the requests and
the destruction process. Record Coordinators can and do get temporaries
(and co-workers) to pack boxes if needed. The Record Coordinators are the
backbone of the program, since they are close to the creation of the
records and know what they are used for, or know who can tell them.
