Subject: Re: imaging in law firms

Bob McKee asked:

"1. Does your firm have a dedicated internal resource responsible for imaging documents of moderate size (daily business documents, not document production)? If so, who? And within what administrative department does the position reside? Does the position handle all imaging, or just some?" No, we don't. Attorneys, secretaries, and support staff can choose to scan their paper documents into our DMS, but no policy currently enforces this.

"2. Does your Records Department handle any imaging at all?" Yes, we scan our matter intake forms, with associated documentation (e.g., waivers, conflict reports, engagement letters), into our records system (Accutrac 8.0) and will soon begin scanning them into our DMS as we transition to our new records system (IRM 6.0).

"3. Does your firm have a specific team of people solely responsible for electronic records management?" No.

"4. Do you have a scan & shred policy?" No.

"5. Are you happy with the current division / assignment of these tasks?" Not particularly. However, there doesn't appear to be any top-down or bottom-up desire to implement a more systematic or policy-driven approach.

For what it's worth, these are my answers.

Howdy from St. Louis!

I'm working on a workflow and responsibility project, and have a few questions regarding how the task of imaging documents is handled in medium-to-large law firms. Your replies are appreciated!

4. Do you have a scan & shred policy? If so, how is it enforced?

5. Are you happy with the current division / assignment of these tasks?

Cheerio!
Bob
