Emory University Libraries invites applications for a University Records
Manager to assist administrative and academic offices with the management
of active and inactive records to preserve University history and to ensure
compliance with the University’s legal and fiscal responsibilities.  As
part of the University Archives team in the Manuscript, Archives, and Rare
Book Library (MARBL), the University Records Manager will work with campus
units to expand the current records management program to better address
the changing information and records management needs of the University
community.  The University Records Manager will provide records management
services ranging from maintaining and revising the University’s records
policies and schedules, to assisting University offices in developing
records management solutions, and implementing electronic record keeping
systems.

MARBL has special strengths in literary, southern historical and African
American collections, and also houses the Emory University Archives whose
mission is to collect, preserve, and provide access to records,
manuscripts, and related materials documenting the history and function of
Emory University, its predecessor schools, and related organizations. A new
strategic plan and comprehensive campaign is beginning which will expand
Emory’s distinctive special collections and fund a signature state-of-the
art center for the humanities at Emory. Currently, a staff of 10 FTE,
fellows, and curators provide cataloging, arrangement and description,
research services, instruction and outreach, basic preservation services,
and organize special projects and events. For more information about the

Responsibilities include working with offices across the University to
identify records created during the course of business; recognizing
applicable state and federal regulations, identifying appropriate retention
schedules and disposition plans; coordinating the storage and retrieval of
inactive business records (both analog and digital); and developing related
training and educational programs.

The University Records Manager will report to the University Archivist and
will work closely with departments across campus, including the Office of
the General Counsel, the Office of Information Technology, the Internal
Audit Division, and the Office of Research Administration.  Specifically
the University Records Manager will be responsible for the following:

• Maintaining and revising records schedules for University records in all
formats
• Surveying and evaluating digital and analog record keeping practices and
systems in University offices and consulting with University offices to
determine nature and extent of records
• Ensuring the appropriate storage, retention, disposition, and
preservation of University records in accordance with approved records
schedules
• Providing guidance and assistance to University offices in developing,
implementing, and improving record keeping systems and practices, including
the management and preservation of electronic records
• Developing and conducting training sessions for the University community;
maintaining outreach and informational resources, including the University
Records and Information Management website (http://records.emory.edu/).
• Identifying and preserving University records of continuing
administrative, legal, fiscal, and historical value.

QUALIFICATIONS:
Required:
• Master's degree in Information Science, Library Science, Archival
Science, or related subject area with coursework in records or information
management
• Three to five years records management experience
• Demonstrated knowledge and understanding of records management and
archival theory and standards, including legal and fiscal issues governing
university records
• Excellent oral and written communication skills to convey program
rationales and benefits to audiences at all organizational levels and
backgrounds
• Strong interpersonal skills to successfully collaborate with a broad
range of personnel from various campus departments, including executive
management, directors, supervisors, faculty and staff employees
• Ability to work independently with minimal supervision
• Demonstrated ability to work with confidential information and to handle
sensitive situations with diplomacy and respect for privacy rights; ability
to maintain and safeguard confidentiality of documents and information
collected and reviewed
• Experience with electronic records management and digital preservation
issues
• Ability to lift 40 pound boxes and work in a dusty environment

Preferred:
• Certified Records Manager (CRM)
• Experience in a private college/university setting
• Knowledge of and/or experience with enterprise business and content
management systems Knowledge of and/or experience with electronic records
management systems
• Evidence of program building success; experience leading public programs
and outreach

Salary and Benefits: Salary and rank dependent upon qualifications and

business, and Oxford College. Holdings total approximately 3.7 million
volumes. The Libraries also provide access to thousands of electronic
information resources, including more than 56,000 e-journal titles.  The
Woodruff Library brings together technology specialists and librarians in a
facility that includes a learning commons, e-classrooms, a
distance-learning classroom, Emory’s Center for Interactive Teaching, the
Heilbrun Music and Media Library, the Electronic Data Center,group study
rooms, and comfortable study space with data connections and wireless
access throughout the building.   The Manuscript, Archives and Rare Book
Library (MARBL) contains modern literary archives and manuscript
collections, notable African American collections, University archives, and
other major manuscript and rare book holdings.  The Emory Libraries are
members of the Association of Research Libraries, OCLC, the Center for
Research Libraries, the Coalition for Networked Information, the
HathiTrust, and the Digital Library Federation.
