I'm not really that put out by the idea of the advances in information technology and the fluidity of information. Why? Because I don't really look at is a as a bunch of unbridled information flying around in the ether. Rather, I look at it this way: every one of these types of information was created by a system that creates the data. And so the data can potentially be managed by the creating system or ingested into a managing system or both. It is and will always be our job to expound, promote, and actuate the standard principles to properly manage those systems, whatever they may be. 

I wonder if 40 years ago, (or whenever) the RIM profession would have answered the question of "How do we deal with electronic records?" with simply, "Put them in a managed system." would our perceived lot be better now? Instead of floundering over how to translate our paper practices to digital records, we could have spoken with one voice and provided a star for all of our organizations to follow and been in more control of the management systems that have come out in the decades since. 

Our profession and how we accomplish the goal of helping our organizations manage their information will change as technology changes, but really, that condition exists for nearly every profession you can name. Doesn't it?

Thanks for posting the link to purchase raffle tickets. Feedback on the process: I purchased tickets on-line using the link you provided, but no receipt was issued for the purchase price. I did receive an email confirmation, with a link to the raffle tickets, themselves, but there was no receipt in the confirmation, either. Can the system be modified to issue receipts?

I am the records manager for a public transit authority. I have been lookin=
g at records management systems and am specifically needing a system that c=
an manage physical and electronic records, that is not cloud based. One sys=
tem I have looked at uses metadata to categorize electronic records, includ=
ing email, for retention purposes.
Does anyone use a system like this? Pros, cons? Any recommendations? No ven=
dors please, just user comments on their current or past systems that fit t=
his description.

I generally group the messages by SENDER - so I can group delete the routine/obsolete/OBE announcements that came while I was out.

I first ensure I had set an "out of office" message for the person who should be contacted while I am out - and see if they sent me anything they could not handle while I was gone. And while I was gone, they would have cc'd me on any actions they took, so I can eliminate the initial message from the initial sender.

Check for any meeting makers - in case something has been added to my calendar I will need to prepare for.

Check the rest for key stakeholders I work with often - in case they need a quick answer. The "out of office" would have told them I would review their message when I returned.

Then I do a quick scan of the subject lines - if it starts with "re:" - it is a reply I was waiting for usually. I check those.

Anything new after those get a quick scan of subject lines to ensure there are no "fires" that need immediate attention. 

I then make a cup of coffee and meet with the person who handled items while I was gone, and get a quick back brief of actions they took, and get back into the normal rhythm of prioritizing. 


You should take vacations more often - and you would get more comfortable with the process! You become invaluable not when the office crashes while you are gone, but when it doesn't - you have prepared your co-workers and staff well.

Vacations are meant to refresh yourself so that means no work communication. When back in the office what do you do about emails?

Start at the top and work down?

Start on the day you left and work up?

Or just delete them all and if it is important they will get back to you?
