Linda - our record's policy includes a section that says that our email, chat 
and phone platforms are not systems of record.  If the content of an email 
constitutes a company record, it must be saved on an alternative platform 
i.e., saved as a .msg on a shared drive.  Our email purge policy purges 
deleted items after 15 days, sent items after 30 days, but inboxes are 
never purged rather they are limited in size to encourage employees to 
save important emails elsewhere.
