1. "Email System Features and Records Management"

National Archives and Records Administration (NARA) records policy manager
Arian Ravanbakhsh writes at Records Express, May 23, 2018:

"Over the past few weeks, there have been several articles written
describing upcoming changes Google is in the process of rolling out to
their email service. One of these features, 'confidential mode,' allows
senders to select how long the recipient will be able to read and access
the messages, disables forwarding or copying/pasting, and sets the time for
when the message is deleted.

....regardless of what platform an agency selects for their email, each
agency is responsible for ensuring compliance with all records management
guidance in federal law and NARA regulations. This includes implementing
and following the retention periods required by the applicable
NARA-approved records retention schedules. Any decision on authorizing
specific features or functionality of an email platform will be made by
each agency. However, these decisions must also comply with all applicable
laws and regulations."

*2. "*Managing Metadata for Permanent Records: What if the metadata
required for transferring permanent records are stored separately from the
records themselves?"

Beth Cron of NARA's Chief Records Officer staff writes at Records Express,
May 31, 2018 that "Required metadata, as specified in NARA Bulletin
2015-04, must have the same retention and disposition as the records they
describe whether maintained in a separate system, records management
application, or case management system. Metadata must be captured and
managed throughout the lifecycle of records and accompany the records at
the time of transfer."

3. "Eighteenth Annual Archivist's Achievement Awards"

AOTUS David S. Ferriero writes at AOTUS blog, May 31, 2018 about Public
Service Recognition month activities at NARA, including the annual
Archivist's Achievement Awards. David notes that,

"This past year, staff across the National Archives scanned many pages for
the National Archives Catalog, provided great customer service to House and
Senate staffs, moved lots of Obama Presidential Materials, digitized and
made available hundreds of reels of World War I and World War II footage,
cultivated public participation through social media, assisted Puerto
Rico’s archives and cultural institutions in their post-hurricane recovery,
modernized the General Records Schedule, and developed and produced the
Declarations@NPRC newsletter, providing essential communications to the
employee community."

4. Digitizing Vietnam War U.S. Coast Guard records

The current featured project at NARA's Innovation Hub is scanning of
Vietnam War U.S. Coast Guard logs. On April 25, 2018, several Vietnam
veterans participated at a scan-a-thon, along with NARA staff and
volunteers. Photos here:

one of the Coast Guard vessels during the Vietnam War. The photos convey
some of the sense of reunion among the men present for the digitization
initiaitive. See also David Ferriero's May 10, 2018 blog post at

As noted here earlier, I try to help staff as many of the Vietnam War
related NARA events as I can, including our "Remembering Vietnam" exhibit
opening, described in my Veterans Day post, "Welcome Home."

Have a good weekend, Listserv colleagues,
