Bringing Control to FBI Files Nationwide

Time:  Networking – 6:00 PM, Dinner – 6:30 PM, Presentation – 7:30 PM

Location: Golden Bull Grand Cafe - 7 Dalamar Street, Gaithersburg, MD 20877, phone: 301-948-3666

Program:  In 2002, the FBI held an estimated 178 miles of distributed, largely active records and case files. While originally created and maintained in a disciplined process, with both manual finding aids and legacy mainframe indices, the volume of material and declining clerical support staff presented a complex control problem. Innovations in technology presented the institution with significant process improvements and the means for rapid analysis; but knowledge contained in the widely distributed legacy case files remained a challenge to rapid information access. The solution was an aggressive inventory project with barcoding and metadata capture coupled with a reduction in the size of the collection through authorized destruction and targeted accession transfers to NARA. Scan-on-demand services provided high-quality and searchable digital versions to meet operational and administrative requirements.  John and Betty will share the many lessons
learned in implementing the FBI’s Document Imaging Management and Control Project (DIMCaP) extending governance over this vast repository of legacy files.
