You need to move data objects out of the live database and onto a seperate repository that can then be managed. This is needed as if the SAP live (R3/R4,etc) database gets to large a multitude of IT based problems begin to occur. The problem with trying to move this data is that the interdependencies of the data in the database and among data objects make it difficult to move them near/off-line. It also has to do with the ability of SAP to only define static retention periods for data residence on the live database. After you move them off the live database you could use alot of different systems for both doc mgmt and RM mgmt depending on the repository you choose. In my opinion you need to work with a cross functional team to create an EDMS/ERMs solution/framework, that is at an enterprise level, and involves ALL electronic records/doc mgmt concerns as well as the systems and processes that will need to be integrated. That being said there are alot of possible solutions depending on your need and I'd be happy to talk off-line. One option I just received is from the Dolphin SAP consulting group called ARC (Archive Retention Cockpit) for SAP.
