<What do the others on this list do?> I got strict with myself about saving every version of the retention schedule that had even tiny change to it once 1) it became somewhat stable, 2) I started referencing it to others, 3) the records policy, which mentions the retention schedule about 12 times, started to circulate in draft form amongst potential policy-approvers. I certainly have a copy of every version that has been available on the intranet. Why would you not have a saved version of the schedule in the first place? As for saving versions for historical purposes, I guess it depends on your schedule & company policy? After all, the retention for the schedule can be "until superseded" can't it? Also, what is the policy of making changes to the schedule? Do the changes need approved, first? If so, do you go through the approval process weekly? I have found that yearly is good. I make the changes, a proposed schedule, & submit the changes for approval annually. I missed this the first time, and then I read the portion of Larry's posting (included above), which said that the RRS should be declared as a record. Does that mean that: (a) a retention period needs to be assigned to the retention schedule, and (b) do I need to save each version of the retention schedule before I make any changes to it? I know that I'm adding or changing something to one of our 5 retention schedules every week or so, so do I need to make the change, and then save a new copy of the schedule to preserve a history of the changes?
