Job Summary:

Responsible for providing ongoing analysis and support for company-wide
document retention compliance including document evaluations, working
with business areas on retention requirements and compliance, preparing
and recommending retention schedules, vital records protection and
electronic records management systems. The position requires broad
experience in dealing with related subject matter represented in the
content of records, both electronic and paper across all functional
areas. 

Primary Responsibilities:

*	Monitors compliance with new and existing regulatory records
requirements for records throughout the company.
*	Coordinates with all business units on records evaluation and
retention requirements.
*	Conducts document evaluations, performs records inventories, and
assists with preparation of recommended retention schedules based on
appropriate laws and business practices.
*	Works with business units on retention schedules for information
stored in all types of media; i.e., electronic, optical, microfilm,
paper, etc.
*	Works with business units to determine the most viable solutions
to document retention issues; i.e., implementing new systems, modifying
existing systems, migrations, recovery and disaster preparedness, etc.
*	Works with business units to ensure adherence to records and
information management program requirements.
*	Works with organizational department personnel in the: (a)
identification of vital records, (b) recommendation of proper
procedures/equipment, and (c) establishment of rotation procedures, both
for on-site and off-site storage. 
*	Assists with research, evaluation and recommendation of records
systems.
*	Reviews current departmental policies and processes and
recommends where improvements can be made or compliance can be improved.
*	Communicates potential compliance issues to management and
recommends corrective actions.
	Assists with conducting audits to ensure compliance with records
management policies and procedures.
*	Assists with records and information management training
development.
*	Assists with and/or conducts records and information management
training, as directed.
*	Tracks the progress of assigned projects and meets all
appropriate deadlines and deliverables.
*	Monitors on-going projects for efficiency and completion. 

Knowledge, Skills & Abilities

 

*	Excellent attention to detail and accuracy.
*	Strong analytical and problem solving skills with ability to
identify and evaluate potential issues and implement viable solutions. 
*	Ability to work independently within a team environment.
*	Strong organizational skills with the ability to manage multiple
tasks simultaneously.
*	Ability to handle confidential and/or highly sensitive
information in a professional and appropriate manner.
*	Strong interpersonal and customer service skills in maintaining
effective working relationships and interacting with all levels of
management.
*	Intermediate to advanced computer skills, including Microsoft
Word, Excel, and Access.
*	Strong verbal and written communication skills.
*	Knowledge of records management theories, practices, techniques,
rules and regulations preferred.
*	Knowledge of the use of automated systems, software and
equipment for records management, particularly as they apply to records
retention, preferred. 
*	Experience with TRIM software (or other electronic records
management software) preferred.

Education/Experience:


*	Bachelor's degree or equivalent in Business or related
discipline.
*	Three years professional records management experience required.

*	Three years mutual funds/financial services industry experience
a plus.
